Investment Operations Manager


JOB PURPOSE:
This position has daily oversight over the operations department of the firm. Through proactive and reactive efforts, the goal of this position is to process all new business in a timely and accurate way while also delivering world class service and support to the firm's clients. This individual also has daily oversight of the firm's technology, training, and development of external operational vendor partnerships and relationships to support firm business growth through ideas, strategies, support, and technology.


Essential Functions:

  • Manage the process for all the firm's new insurance and securities business in an accurate and timely fashion with minimal error. Onboard client with the greatest of care and with concierge service. Follow up to make sure commissions and fees are paid appropriately.
  • Manage client service using internal and external resources and deliver white-glove service that is second to none (friendly, accurate, timely) via phone, email, and in person. Manage the process for all changes, requests, and updates as needed including cashiering (contributions, distributions, RMDs, address and beneficiary changes, etc.)
  • Manage the process for proactively preparing all materials needed for client meetings including applications, statements, reports, and marketing materials as needed.
  • Create, document, and maintain repeatable processes and procedures for the firm in order to maintain compliance and optimize productivity, efficiencies, scalability, and profitability
  • Manage training to educate advisor(s) and team members on all technologies, services, and other operational strategies
  • Seek innovative technology and other quality solutions to improve internal efficiencies, client experience and service to clients
  • Manage relationships with key outside partners (Ameritas, AIC, and other strategic product vendors) to assure proper business facilitation and service standards
  • Supervise and develop team members in the future as the Operations department grows
  • Stay abreast of the ever-changing guidelines set forth by FINRA and the SEC as it relates to the operations process, and ensure that we are always operating within the highest compliant standards
  • Serve as IT point person for the firm, responsible for working with vendors to assure technology is working as it should
  • Manage other office needs including supplies, mail processing, meeting room readiness, etc.
  • Manage licensing and registration needs for the firm
  • Manage compliance responsibilities for the firm including daily logs, CE requirement reminders, processes and procedures, etc.
  • Constantly and consistently communicate with other team members, and clients as needed, during the sales, transaction, and service cycles to assure the highest of standards for speed and quality
  • Document all work requested and completed in Redtail and other systems as decided upon.
  • Project manager for important objectives as determined by the team
