Private Equity firm in Midtown, Manhattan is looking to hire a Temp to Perm Investor Relations Assistant. The firm is expanding its IR team due to growing business needs. This is an exciting opportunity to support one of the firm's Co-founders/Managing Partners and the Head of IR, as well as assist other team members with tasks and projects as needed. The current IR team consists of a Head of IR, two IR Senior Associates and a Marketing Coordinator. This role does require someone in office Monday - Friday. Hours are 9am - 6pm with flexibility of OT. They are entering a fundraise so for the next several months more flexibility will be required.

Responsibilities:

  • Provide heavy scheduling support and calendar management for the Co-founder/Managing Partner and the Head of IR, including facilitating a high volume of meetings, conference calls and video conferences
  • Screen and direct busy stream of incoming calls and mail correspondence
  • Meet and greet guests, including liaise with visitors when needed
  • Coordinate with IR team members on meeting materials and preparation
  • Handle domestic travel arrangements, with occasional international travel arrangements, including preparing detailed itineraries for both business and personal travel (including private aviation)
  • Assist with editing and assembling presentation materials for LP meetings, including PowerPoint for annual meeting containing full portfolio company data
  • Safeguard executive's confidential info: corporate/personal credit cards, personal banking and credit card statements, bills, social security, global entry, etc.
  • Maintain extensive contacts lists
  • Purchase and/or maintain news reprints and renewals
  • Set up meeting rooms in a timely manner
  • Retrieve packages and distribute accordingly, including at times, lunch orders
  • Accurately process and submit expenses in timely manner per company policies
  • Manage corporate season football ticket distribution
  • Filing, copying and other miscellaneous tasks as needed
  • Assist with ad hoc requests and projects as needed

Requirements:

  • 5 + Years of Executive or Administrative Assistant in financial services; prior experience in private equity or supporting an Investor Relations/Marketing team is ideal
  • Experience within client- and/or investor-facing roles preferred
  • High level of proficiency with MS Office, particularly PowerPoint and Word
  • Experience in a fast-paced environment with a high volume of work
  • Excellent communication and interpersonal skills
  • Superb organizational skills, ability to multi-task and strong attention to detail
  • Creative problem solver who can work independently but is still very team-oriented
  • Willingness to provide support outside of normal business hours when members of the team are traveling domestically and/or internationally and are not on an East Coast or U.S. schedule, as applicable

Compensation/Benefits:

  • Paying between 150K - 175K DOE + Discretionary Bonus + Free Lunch + Fully Paid Benefits + 401k (Match) + Profit Sharing
