Are you a seasoned IP Legal Assistant with over 5 years of experience, looking to take the next step in your career? Beacon Hill is seeking a highly skilled and experienced Legal Assistant to join a phenomenal firm in Washington, DC.

Job Summary:

The IP Legal Secretary plays a vital role in providing specialized patent prosecution support to our Intellectual Property attorneys. In addition to managing a heavy docket of filing and administrative deadlines, the incumbent assists with various administrative duties as assigned by the practice group or firm leadership.

Job Responsibilities:

  • Docket Management and Filing:
    • Efficiently handle a substantial docket of filing and administrative deadlines, addressing last-minute filings and client or attorney requests promptly.
    • Actively engage in risk management through detailed independent docketing, ensuring accuracy in tracking due dates and client/attorney-requested dates.
  • Compliance and Quality Assurance:
    • Strictly adhere to established policies and procedures, ensuring compliance with firm administration, client expectations, and attorney preferences.
    • Apply special client instructions and attorney preferences to workflows, document preparation, and billing processes.
  • Document Preparation and USPTO Filings:
    • Prepare U.S. Patent and Trademark Office (USPTO) documents in "signature-ready order," filing electronically or in hard copy.
    • Manage patent applications related to utility, design, and plant applications, including U.S. national phase, non-provisional, provisional, divisional, continuation, continuation-in-part, reexamination, and reissued applications.
  • Billing and Financial Management:
    • Prepare on-demand and monthly client debit notes in "client-ready order."
    • Investigate and resolve client billing inquiries, PTO deposit account or credit card charges and refunds, and assist in implementing alternate fee arrangements.
  • Research and Knowledge Management:
    • Stay updated on the Rules of Practice in Intellectual Property, both domestically and internationally.
    • Utilize patent and trademark resources effectively, including PAIR, EPAS, EFS-Web, Advanced Patent/Assignment Database Searching, WIPO, ESPACENET, and foreign country Patent and Trademark Office websites.
  • Administrative Support:
    • Handle client, agent, and vendor correspondence in "signature-ready order" under attorney guidance.
    • Manage telephone calls, mail distribution, and scheduling of conferences, meetings, and appointments.
    • Coordinate business trips, including travel arrangements such as air, hotel, and car reservations.

Qualifications:

Knowledge, Skills, and Abilities:

  • In-depth knowledge of USPTO filing requirements and patent prosecution processes.
  • Proficiency in docket management, independently identifying docketing dates, and evaluating client instructions and legal documents.
  • Advanced skills in utilizing patent and trademark resources, computer software, and office equipment.
  • Exceptional attention to detail, typing speed (80 words per minute), and strong command of the English language.

Education and Experience:

  • High School Diploma or GED required; Bachelor's Degree and/or specialized training preferred.
  • Minimum of five (5) years of directly related patent prosecution experience, with exposure to IP litigation and/or trademark beneficial.
