Our client, a real estate firm, is looking for a Marketing/Administrative Assistant to join their team in the downtown area. In this position, you will be responsible for carrying out assigned administrative and project coordination in support of local Chicago brokerage teams. This is the position for you if you are detail-oriented, enthusiastic, self-starting, creative and forward-thinking. Based on experience, this position pays up to $60k.

Responsibilities:

  • Work alongside a Tenant Advisory broker team to provide administrative, marketing and research to support new business development, project organization and transaction coordination
  • Support broker team members by producing and maintaining the pipeline of XRM, commission reports, invoices, lien waivers, internal and external broker lists
  • Preparation of letters of intent, request for proposals, proposal comparisons, critical timelines, commission agreements, exclusive listing agreements, lease or sublease agreements, stacking plans, development strategies, aerial maps, project overviews, etc.
  • Compilation of moderately complex documents and information for necessary weekly and monthly reports, informational packages and/or presentation materials
  • Assistance with the preparation, gathering, research and presentation of complex transaction documents and related materials
  • Creation and maintenance of databases of market sales and lease transactions
  • Assistance in the research and analysis of competitive data pulls, property and market research, and area
  • Creation and coordination of broker social media strategies.
  • Arrange, organize and manage broker meetings and events
  • Coordinate the production process, from digital export to in-house printed media
  • Other administrative, coordination and marketing responsibilities as assigned

About You:

  • Bachelor's degree or equivalent experience
  • 2+ years of post-college professional related experience
  • Superior written and verbal communication skills
  • Basic Microsoft Office Suite skills (Outlook, Word, Excel, PowerPoint) necessary
  • Basic knowledge of Adobe InDesign
  • Basic knowledge of Canva, Photoshop and Illustrator preferred
  • Ability to work well under pressure and deadlines while remaining organized and detail-oriented work product and professional communication
  • Ability to multitask and work independently and as part of a larger team
  • Ability to be flexible with work hours
  • Must be well-organized and have the ability and desire to maintain organization
