Our client, a prestigious Non-Profit organization in Schaumburg, is looking for a temporary Meeting Planer to assist them for six months. The schedule is hybrid with working one day per week in the office.

Job Summary:
The Meeting Planner supports the Programs team with research, planning and logistics meetings, webinars and other meetings as needed. Plans and executes courses from concept to completion including request for proposals, contract review, site visits, registration administration, volunteer/faculty communication & coordination, social events, invoice/expense form processing. Coordinates conference calls, team office meetings, and assists the Staff Vice President, Programs and Communications with special projects as needed. This position will be approximately 50% meeting planning, 50% administrative support to the Programs & Communications team.
Essential Duties and Responsibilities:
* Meeting planning for Live Courses, including sourcing, budgeting, contract negotiation, menu selection, audio visual planning, and post event reconciliation.
* Conducts vendor research, request for proposal process, cost comparison and contracting for restaurants, DMC, security, temporary staff, and transportation.
* Provide abstract center support for all programs. Support includes but is not limited to assisting with submissions, communication, and general abstract center updates.
* Plans and executes webinars.
* Responsible for day-to-day registration operations and registration tracking for Live Courses and section meetings as assigned.
* VIP, Faculty, and Special Speaker invitations, registration, housing, transportation, expense processing, and amenity coordination.
* Collect presentations and disclosures and works with Program Compliance Manager as directed.
* Oversee international invitation meeting requests.
* Pre-meeting printing (including badges where needed), shipping and binder composition for general on-site needs.
* Work within the online learning management system as needed, responsible for creation and publishing of registration forms through the system
* Assists the team with scheduling conference calls and in-office meetings.
* In the absence of the receptionist and/or back up, answers, screens, and transfers incoming phone calls as needed.
* Assists the Staff Vice President, Programs and Communications with special projects as assigned.

Education, Knowledge, Skills and Abilities
* 2+ years' experience in a meeting planning role, preferably in a medical/physician association or setting.
* Associates/Bachelor's degree preferred.
* Strong computer skills required, including expertise with Microsoft Office suite: Outlook, Word, and Excel.
* Proficient in use of internet.
* Experience with data management is required.
* Ability to effectively interact and collaborate with volunteer leaders. Ability to coordinate multiple projects and meet deadlines.
* Ability to create and manage a budget with minimal supervision is required Work with minimal supervision and exercise independent judgment.
* Excellent writing, grammar, and proofreading skills required. Strong interpersonal and oral communication skills required.
