Healthcare Private Equity firm in Central Manhattan is seeking to hire a Temporary Office Coordinator ASAP through March 10th with potential for full/partial coverage for 6 weeks thereafter, totaling in roughly one month of coverage. This person will act as a liaison between the HQ in France and the US team by helping to coordinate global activities within the US. This position requires 5 days a week in the office. Hours are 9am - 6pm daily and the candidate should be flexible to have some availability after hours when needed. Pay rate $30/hour.
Responsibilities:
Office Management & Administration
- Manages contracts and relationships with all US suppliers, to include office building, corporate hotels, office supply providers, cleaners, etc., to include first line negotiations, managing scheduling, troubleshooting, etc.
- Ensures tidiness and overall aesthetics of the NY office
- Manages all post (USPS, UPS, FedEx, etc.) to include distributing mail and packages as well as posting mail and packages as needed
- Ensures sufficient office supplies at all times, to include refreshments
- Acts as a liaison between French support teams and US team
Personal Assistant
- Books travel and accommodation for all Partners based in the NY office
- Provides diary management for all Partners based in NY office
- Manages NYC apartment, to include managing schedule of visitors, managing cleaners, ensuring overall tidiness and aesthetics of apartment, liaising with apartment building, managing repairs, etc.
Finance
- Partners with Finance to ensure timely payment of all US invoices
- Manages US Office budget, to include costs for office supplies, refreshments and team events
- Manages US corporate credit card
IT
- Liaises with IT team and outsourced partners to ensure all IT runs smoothly in office, including, but not limited to, conference room AV equipment, printer, etc.
HR
- Supports global HR team with various HR related items in US as needed, including, but not limited to onboarding, ensuring vacation time is logged, communicating public holidays, etc.
Qualifications:
- Experience working in a fast-paced environment
- Excellent attention to detail
- Excellent organizational skills, able to help create order and manage processes in a process-light environment
- Strong communication skills, both written and verbal
- Proactive, able to take initiative and proactively seek information needed to complete tasks
- Trustworthy, able to be trusted with confidential information
- Strong multi-tasking and prioritization skills
