Summary of Responsibilities

Our Executive Assistant supports our President of the Organization. This role will be responsible for many important administrative tasks from coordinating schedules with staff and clients, to working on diverse and interesting projects, as well as meeting the day to day needs of the office and keeping all aspects of the office running smoothly. This is an in-office position.

Essential Functions

  • 60% executive assistant, 40% office manager
  • General office management
  • Coordinate and schedule client and new business meetings
  • Calendar and data base management
  • File management
  • Assist in compliance oversight, licensing, continuing educating etc.
  • Assist and manage projects as needed
  • Enter expenses, checks, and deposits into QuickBooks
  • Human resources, benefits administration, and payroll tasks
  • Banking and related tasks

Education, Experience, and Skills Required

  • Bachelor's Degree or relevant experience
  • 3-5 years of administrative experience, executive assistant preferred
  • Working knowledge/proficiency in life insurance, financial planning and/or wealth management, a must
  • Experience with QuickBooks, a plus
  • Familiarity with standard industry CRM systems (SmartOffice) a plus
  • Industry-related licensing and broker dealer compliance experience preferred
  • Human Resources, benefits administration, payroll, and 401k plan experience a plus
  • Adept with technology, a must
