Staffing firm located in Midtown, Manhattan, is seeking a Temporary to Permanent Office Manager to support their 80-person office. This position will be in office Monday-Friday, 8:30am-5:30pm.
Responsibilities:
General office Administration:
- Field incoming calls
- Input visitor names w/security
- Oversee interview & conference room schedules
- Greet incoming clients, candidates and visitors as needed
- Prepare new hire setups (for in-office & remote employees)
- Order & maintain inventory of office supplies
- Order & maintain inventory of snack supplies
- Order business cards
- In-office tech troubleshooting
- Coordinate in-office lunch meetings & weekly celebrations
- Coordinate travel (flights & hotel) as needed
- Assist Events team with any local event execution needs
- Maintain kitchens (Continually monitor to keep tidy and well stocked. Run & empty dishwasher daily.)
- Possibly coordinate team events such as fitness classes, wellness events, team outings
Specific Division Assistance:
- Reformat resumes & resume conversions
- Assemble & ship candy jars
- Coordinate flower/gift orders
- Submit candidates to ATS
- Coordinate baby/wedding shower celebrations
Facility & Vendor Coordination:
- Serve as Building liaison
- Schedule maintenance as needed
- Forward building communications to the office
- Coordinating with management for on-site work
- Oversee execution of contracts (eg, office cleaning, furniture orders)
Qualifications:
- 3 + years previous experience in reception, administration, and/or office management
- Strong proficiency in Microsoft Office (Word, Excel, Outlook)
- Exceptional attention to detail, ability to work well under pressure, resourceful, and forward thinking
- Tech savvy
- Strong written/verbal communication skills
- Ability to prioritize tasks and ask for direction when needed
Compensation:
- $75-100k DOE + Great Benefits
