Our client, a research institute located in Cambridge, MA, is seeking a Temporary Operations Specialist to join their team. In this role will be a partner with management to help execute programmatic initiatives and projects with the goals to engage the community, increase connectivity, and build operational efficiency. The ideal candidate will be both people oriented, and detail oriented -- feel comfortable interacting with and supporting scientific teams, enjoy working with multiple groups, and influence without authority. The candidate will appreciate the essential nature of working in person with colleagues, to interact with Program constituents. Overall the position affords an opportunity to build on experience with aspects of operations, process, and project management in an academic and scientific setting.
Hours: 8:30am - 5:00pm
Pay: up to $37/hr

Principle Duties and Responsibilities:
● Provide comprehensive administrative support including: complex scheduling and calendar management, coordinating meetings and other internal events (i.e. socials, seminars), planning and booking travel, preparing itineraries, and maintaining records/databases
● Track status of projects, tracking key collaborations and their past, current, and future meetings, develop and maintain agenda and participants for each meeting covering about 15 groups
● Work closely with the Broad Human Resources Team to coordinate interviews of professional and laboratory staff; provide travel coordination, secure conference and meeting space as necessary and appropriate, etc.
● Organize, schedule, help recruit speakers for Blood Biopsy monthly meeting
● Help onboard new members (and offboard) including coordinating their seat, computer, first day logistics, making sure
● Lead administrative budget oversight for the group
● Managing project team finances by providing end to end quoting, invoicing, and processing for contracted projects in SAP (financial system); tracking and troubleshooting issues

Qualifications
● Ability to be flexible, to multitask, and to work in a fast paced and challenging environment.
● Ability to work both independently and as part of a multidisciplinary team, taking initiative when necessary
● Ability to work in a fast-paced and changing work environment and respond to shifting priorities.
● Bachelor's degree with 2+ years of operational, project, and/or administrative experience preferred
● Excellent communication skills and the ability to interact professionally with all levels of staff and external contacts required.
● Excellent organization and time management skills required.
● Experience with SAP, basics of accounting, invoicing, and billing preferred
● Experience with word processing, spreadsheet, and presentation softwares
● Great attention to detail and excellent follow through
● Must be able to handle a variety of tasks as well as to effectively solve problems.
