Our client, a Biotechnology company located in Waltham, MA, is seeking a Part Time Office Administrator to join their team! The Office Administrator will be reporting to the Technical Operations Executive Assistant and be the face of the company. This will be a part time (20 hours per week) contract position. The schedule will generally be Tuesday thru Thursday, 8am to 2:30pm. The pay will range from 20/hr to 25/hr depending on previous experience.

Responsibilities:

  • Greeting and welcoming guests, receiving, and delivering all incoming and outgoing mail and packages, answering all calls, and directing as needed, and coordinating office activities as needed.
  • Answer general office questions for employees
  • Interact with various vendors and delivery services due to signing for packages and supply orders.
  • Set up new employees in the badge system
  • Create badges
  • Notify vendors of new employee as needed
  • Create nameplate & set up desks/offices for new employees
  • Assist with BxP regarding Building/Facilities Maintenance
  • Submit maintenance tickets as needed with office needs
  • Submit space requests for office events and route to appropriate admin/dept
  • Office and kitchen organization
  • Keep kitchen organized, cleaned, and stocked
  • Receive orders and confirm correct items were received
  • Keep supply closet organized, stocked, and cleaned
  • Printer maintenance - making sure ink & paper are installed and stocked correctly
  • Keep track of shipments coming in and going out
  • Manage Waltham Office Community Group in Teams by updating it with office events
  • Manage office map and seating chart with adjustments as necessary
  • Create office décor to help with a welcoming environment for major holidays

Qualifications:

  • 3+ Years' experience in front desk service
  • High school diploma or general education (GED) required
  • Proficient in Microsoft Office
  • Strong phone skills
  • Excellent communication skills due to interacting with customers, employees, board members and vendors
  • Expert interpersonal skills to collaborate and give and receive criticism well
  • Excellent organizational skills
  • Comfortable multi-tasking and prioritizing tasks without guidance
  • Punctual and strong attendance history
