Personal Assistant/Estate Manager
Job Description:
Position Overview: We are seeking a highly organized and dependable Personal Assistant with a focus on estate management to provide comprehensive support to an individual. The ideal candidate will be proactive, resourceful, and capable of handling a wide range of administrative tasks efficiently, as well as overseeing various aspects of estate management. The Personal Assistant will play a pivotal role in ensuring the smooth operation of the executive's daily life, professional commitments, and estate-related matters.
Key Responsibilities:
Calendar Management: Maintain and coordinate the executive's schedule, including scheduling meetings, appointments, and travel arrangements related to estate matters. Ensure optimal time management and prioritize estate-related commitments effectively.
Communication: Act as a gatekeeper for the executive, managing emails, phone calls, and messages related to the estate. Draft and proofread correspondence and documents for estate-related purposes.
Estate Management: Oversee the management of the executive's estate, including the maintenance of properties, scheduling repairs and renovations, and managing household staff.
Financial Management: Assist in managing the financial aspects of the estate, including budgeting, tracking expenses, and ensuring timely payments for property-related bills and services.
Legal Support: Collaborate with legal professionals to handle estate-related documentation, contracts, and compliance matters. Maintain records of legal documents.
Inventory and Asset Management: Keep track of valuable assets, collectibles, and inventory related to the estate. Ensure proper storage, insurance, and maintenance.
Vendor Coordination: Liaise with various service providers, contractors, and vendors for estate-related services, such as landscaping, security, and household maintenance.
Meeting Support: Prepare meeting agendas and materials for estate-related meetings. Attend meetings with the executive, take minutes, and follow up on action items.
Research: Conduct research on estate-related topics, including property market trends, investment opportunities, and legal requirements. Provide summaries and reports to support estate-related decision-making.
Task Delegation: Assist in delegating estate-related tasks to other team members or external contacts as required. Follow up on delegated tasks to ensure completion.
Confidentiality: Handle sensitive estate-related information with discretion and maintain a high level of confidentiality at all times.
Problem Solving: Anticipate and address issues or challenges that may arise in the estate management process. Offer solutions and recommendations when necessary.
Personal Support: Assist with personal errands, shopping, and other tasks as requested by the executive, especially those related to estate management.
Qualifications:
- Proven experience as a Personal Assistant or Estate Manager with a strong focus on estate management responsibilities.
- Strong organizational and time management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in office software (e.g., Microsoft Office Suite).
- Discretion and the ability to maintain confidentiality.
- Adaptability and the ability to handle unexpected situations.
- Knowledge of estate management, property maintenance, and related legal requirements.
Education: Bachelor's degree preferred, but not required.
