Our client, a leader in the Financial Services space, is looking to hire an Event Planner on a contract basis starting immediately. This position will run through January to start with strong potential to extend from there.
This is a hybrid position that will be based in Boston, MA several days per week and may require some travel!
Key Responsibilities:
- Manage the tactical execution of meetings & events (including keeping event expenses within assigned budgets, on-site management, venue and lodging selection; developing agendas; arranging transportation, audio visual, entertainment, signage, staffing, managing tradeshow booths, promotional items, and shipping; tracking attendee information; generating and organizing meeting materials, etc.).
- Manage events and webinars supporting sales teams, communications teams, and management. Events may include National Sales Meetings, sponsored conferences, local sales/client meetings throughout the Americas; employee events such as Town Hall meetings, Holiday Parties, Summer Outings, Kids Days; and charity events involving employee participation.
- Manage meetings and events on-site (when required) and ensure that all necessary equipment, materials displays, and supplies are available and returned from each program.
- Manage event to budget and track expenditures.
- Establish metrics to evaluate success and strive to improve the quality and experience of meetings and events. Develop and distribute surveys and communicate results to team.
- Write articles about events and provide photos for publication on internal websites, and collaborate closely with Communications and Digital Marketing teams to develop social media content related to events when appropriate.
- In collaboration with managers, negotiate with external business partners (hotels, food venues, external activities) to secure optimal value for goods and services.
- Collaborate with colleagues to facilitate conference calls, virtual events, external speaker events, and event media deployment and recovery.
- Possess a strong understanding of individual client needs and anticipate client requests. Must be available to support client's needs throughout events.
Requirements:
- 3+ years of experience as a meeting/event planner in a corporate environment.
- College Education (4 year degree preferred) or equivalent hospitality industry experience.
- Certified Meeting Professional designation is a plus.
- MS Windows knowledge & application.
- Ability to multi-task in a fast-paced environment.
- Must demonstrate effective negotiation skills.
- Must work well within all levels of management in the organization.
- Exceptional organization & communication skills.
- Some nights & weekends & travel are required
